Schedule Ahead Outside Contractors
Sometimes Preventive Maintenance (PM) for a piece of equipment is handled by the manufacturer, authorized dealer or other 3rd party technicians frrm outside the company.
This can be handled, from a notification and documentation point of view several different ways, depending on your agreements and requirements.
If the PM Task is being done by a contractor, the Employee/Assigned to can be a generic OCTR, for Outside Contractor, or a specific person/organization such as CSM, indicating Outside Contractor Smith & Company.
With our Optional Email and Paperless Work Order Modules, COGZ can automatically email the PM work order to the designated tech.

Advance Notice
Sometimes, the contractor may need advanced notice of the required work. In this case, an additional PM Task Entry for the designated equipment may be needed to notify them of the upcoming requirement.
This notice can go to your COGZ Scheduler who will then make the appropriate calls, or to the contractor directly, depending on your relationship.
Closing the work order can also be triggered by email, with the above-mentioned modules.
Below is an example of an advanced notice going to your scheduler (JJ), and the actual PM Task going to the outside tech.

Closing the PM Work Orders
Regardless of who does the work, it is important that the work order be closed promptly when the tasks are completed, whether the actual PM work, or the advanced notifications. This will maintain the sequences for the next PM period. Note that using the Paperless Work Order with Email options, the Contractor can send an email with work done information that will trigger a status change so the scheduler can review and close the work order.
